YRC Freight Senior Executive Assistant (Investor Relations & IT) in Overland Park, Kansas

JOB SUMMARY

Responsible to perform a wide range of administrative and general support duties for one or more senior-level executives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Communicate and/or coordinate executive’s instructions with various individuals and/or departments with minimal direction/supervision.

  2. Schedule appointments and arrange meetings, conferences and travel. Ensure calendars are current and managed appropriately based on executive preference.

  3. Receive and screen telephone calls, letters, and/or visitors for the executives supported. Answer routine questions, obtain, and furnish appropriate information. Furnish and obtain information from other executives or outside representatives.

  4. Assist in preparing budgets, conduct monthly budget reconciliations, and track/submit expenses. Ensure invoices are processed and paid in a timely manner.

  5. Organize and maintain executive’s correspondence and records, following up on pending matters with limited direction.

  6. Draft and/or proofread correspondence, presentations and other materials for executive’s final approval. Route such correspondence as appropriate for approval from key stakeholders.

  7. Assist with preparing and organizing quarterly earnings call with the investment community.

  8. Ensure investor relations’ earnings and press releases are filed with external parties correctly and on a timely basis.

  9. Route or answer routine correspondence not requiring supervisor’s attention.

  10. Organize and expedite flow of work for those supported. Initiate follow-up action and ensure items stay on track.

  11. Assist with onboarding of new employees.

MINIMUM REQUIREMENTS

  1. High school diploma or equivalent.

  2. Five (5) years administrative support experience.

  3. Demonstrated proficiency in PC applications (i.e., Microsoft Office Suite) with a particular emphasis on Microsoft PowerPoint, SmartArt, Visio and Adobe Acrobat.

  4. Ability to type with speed and accuracy.

  5. Ability to maintain confidentiality and ensure the utmost discretion with confidential and executive-level matters.

  6. Excellent attention to detail.

  7. Demonstrated flexibility and adaptability.

  8. Excellent organization and prioritization skills.

  9. Effective oral, written and interpersonal communication skills.

PREFERRED QUALIFICATIONS* *

  1. College level coursework.

  2. Prior administrative support experience in a computerized office environment.

WORKING CONDITIONS


This job operates in a professional office environment indoors. Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

PHYSICAL DEMANDS


The position requires the ability to spend long hours sitting or standing while using office equipment and computers. Ability to perform repetitive tasks such as typing and keying. Occasional lifting, pushing/pulling, carrying 10 lbs of supplies and materials is required.
